The tenant application checklist for renting abroad

In competitive markets a landlord can receive ten to twenty applications for a single apartment. Foreign applicants who are perfectly able to pay get skipped simply because their file is incomplete, disorganised or in the wrong language. A well-built tenant dossier is the cheapest, fastest way to move to the front of the queue.

Why applications fail

It is rarely about money. It is about the landlord being able to quickly trust you: can they verify who you are, that you can pay, and that you will be a reliable tenant? If any of that takes effort to work out, they move on to the next applicant whose file answers everything at a glance.

The complete tenant dossier

Identity

  • Passport (photo page, and all pages if asked).
  • Visa or residence permit, or proof you have applied.
  • Local ID or tax number where it exists — NIE in Spain, BSN in the Netherlands, residence registration in Germany.

Financial proof

  • Last three to six months of bank statements.
  • Employment contract and your last three payslips.
  • For the self-employed: a tax return, recent invoices and proof they were paid.
  • Evidence that your income is roughly three times the monthly rent.

References

  • Previous-landlord reference letters, translated into the local language.
  • An employer reference on company letterhead.

The cover letter

A single page, in the local language, that says who you are, what you do, why you want this specific apartment and why your income is stable. Most applicants skip this — which is exactly why it makes you stand out.

💡 Combine everything into one clean, clearly named PDF. A landlord who can open a single file and see the whole picture will choose you over five people who sent scattered photos.

Formatting that wins

  • One PDF, in a sensible order, each document labelled.
  • Translations alongside originals for anything not in the local language.
  • Recent documents — statements and payslips from the last few months, not last year.
  • Consistent names and dates across every document.

Have it ready before you view

The best flats are gone within days. Build your dossier before you start viewing, carry it on your phone and have it ready to send the moment a landlord says yes. Speed plus a complete file is what secures the apartment.

Frequently asked questions

What income do landlords want to see?

A common benchmark is net monthly income of about three times the rent, evidenced by payslips or a contract and several months of bank statements. If you fall short, a guarantor or advance rent helps.

Should I translate my documents?

Yes — include translations alongside the originals for anything not in the local language, especially references and employment documents. It makes you much easier to approve.

What is a tenant dossier?

A single, well-organised PDF containing your identity documents, financial proof, references and a short cover letter — everything a landlord needs to approve you, in one place.
